Members may invite a total of three (3) guests per golf season on any Tuesday and/or Thursday. An individual guest may play three (3) times per season with a member sponsor. Guests pay regular UWGC green fees. Guests are not eligible for prizes. (Members remember you must play with another member to be eligible for the weekly prizes.)
We accept new members anytime during the year.
Anyone is welcome to join our league, but women with an affiliation to the university (alumni, employee, retiree, spouse of) do so at a significant discount in their annual fees. Details about our Club, pathways to eligibility, and an online application process can be found on the New Member Information Page.
Weekly games and annual prizes will be determined from May 1 through August 31 play dates. To be eligible for NET games or annual prizes, Players will be required to maintain a GHIN handicap. To be eligible for any weekly prizes, members must submit a SIGNED, ATTESTED & DATED score card by Thursday. Details on the weekly game are e-mailed each week by the 9- and 18-Hole Chairs.
Annual prizes are given for low gross and low net and Ringers by flights.
The executive board determines which tournaments and prizes will be awarded each year.
The 9- and 18-Hole Chairs will calculateall prize results.
Updated membership rosters will be shared with members via email. The information provided in our membership roster is being provided solely to facilitate club communications such as arranging tee times. The personal information of our members should never be used for any other purpose nor shared with anyone outside of our club.
ARTICLE I - NAME
The name of this organization shall be University Women's Golf Club.
ARTICLE II - PURPOSE
The purpose of this club shall be to promote golf and bring members together in an organized manner to further their golf interests.
ARTICLE III - MEMBERSHIP
The membership shall consist of people who meet both the University of Michigan Golf Course playing eligibility criteria and the University Women’s Golf Club playing eligibility guidelines as specified in Policies.
ARTICLE IV - OFFICERS
Section 1. Elections:
The officers shall be elected by a majority vote of the members present at the annual Fall meeting and shall hold office until their successors are duly elected.
Section 2. Terms of Office:
Once elected, Officers serve a two-year team. For continuity in leadership the President & Secretary are elected in even years. All other officers are elected during odd years.
Officers on the executive board may change during the course of their two-year term when a member resigns or is unable to or fails to fulfill her responsibilities. The Executive Board will decide on an interim replacement, who shall serve pending a vote of the general membership at a special meeting or a regularly scheduled Spring/Fall membership meeting.
Section 3. Duties of the Officers:
a) The President shall preside at all meetings of the organization and the Executive Board, appoint all Chairs of Standing and Special Committees and organize the Spring and Fall Meetings. Additionally, the president shall oversee the financial review with at least 2 other members, verifying the online bank statement with the treasurer’s reports at the annual fall leadership meeting.
b) The Vice-President shall preside at all meetings in the absence of the President. The VP shall be in charge of organizing special events like the annual Charlie Green tournament and also chairs the Bylaws & Policies Review Committee. The VP shall be in charge of the annual elections presenting a slate of candidates to the membership at the Fall meeting.
c) The Secretary shall be the recording officer of the organization and the custodian of the records. The Secretary shall conduct the correspondence of the organization and will present the minutes of General Membership meetings to the officers within 2 weeks of each meeting for informal review. Minutes of Officer Meetings and Executive Board meetings will be taken as needed and reviewed by the relevant group.
d) The Treasurer shall collect and receive all money for the organization and shall deposit in the name of the University Women’s Golf Club in a bank selected by the Executive Board. The Treasurer shall be responsible for the collection of the annual dues and donations, pay all bills, maintain the online account, and prepare financial reports for the Annual Meetings. In the absence of the Treasurer, the President or Vice President shall take care of any financial commitment of the organization.
ARTICLE V - COMMITTEES
Section 1. The 18-hole Co-Chairs are responsible for the planning and conducting of all 18 hole competitions, as well as distributing weekly and end-of-year prizes.
Section 2. The 9-Hole Co-Chairs are responsible for the planning and conducting of all 9-hole competitions, as well as distributing weekly and end-of-year prizes.
Section 3. The Handicap Co-Chairs shall verify all the handicaps and set all rules for handicaps according to the World Handicap System. Handicaps will be updated and posted at the agreed to time and interval to support the work of the 9 and 18-Hole Chairs.
Section 4. The Rules Committee shall keep all members informed of USGA and Local Rules. It shall consist of not fewer than 3 people - one of whom is the President - who shall be the final arbitrators of any dispute about the Rules of Play.
Section 5. The Bylaws Committee may consist of 3 members - one who shall be the Vice President, who shall serve as the Chair. This committee shall review all UWGC Bylaws and Policies of the organization, and bring any recommendation for changes to the 1) Membership meeting for Bylaws changes, or to the 2) Executive Board Mtg for Policy changes for a vote.
Section 6. The Website & Technology Committee is in charge of the website contents and operation, managing shared operational storage, and the club designated email account, and archiving the club documentation & history in online storage.
Section 7. The Scholarship Committee will oversee the Barbara Rotvig Scholarship Award and will prepare an annual report.
Section 8. The Membership Chair shall lead recruitment efforts, oversee the application process, prepare an onboarding or orientation “welcome kit” for new members and maintain the membership roster.
Section 9. The board may choose to form ad hoc committees for project specific work such as organizing club related celebrations and other special projects.
ARTICLE VI - MEETINGS
Section 1. The Regular Meetings of the Club shall be arranged by the Executive Board, one in the Spring and one in the Fall, at a minimum.
Section 2. Special Meetings may be called at any time by the President, by a majority of the Executive Board, or by written request of 10 active members of the organization. The "Call for a Special Meeting" must state the business to be transacted.
Section 3. The Executive Board shall hold meetings at regular intervals as is necessary to carry on the business of the organization and shall minimally meet at least once annually after the Fall General Membership Meeting to make plans for the following year and do a financial review.
Section 4. Meetings may be held virtually.
ARTICLE VII - EXECUTIVE BOARD
The Governing body of this organization shall be the Executive Board, which shall be composed of the 4 elected officers: namely the President, Vice President, Secretary, and Treasurer, and the appointed chairs of the Committees.
ARTICLE VIII - RULES OF ORDER
The order of business of the organization shall be conducted according to Robert's Rules of Order.
ARTICLE IX - DUES AND FEES
Section 1. The Annual Dues shall be determined at the Fall Executive Board meeting but any changes must be approved at a general membership meeting. Annual dues must be paid on or before February 14th of each year.
ARTICLE X - RULES OF PLAY
The University Women's Golf Club shall be governed by USGA Rules of Golf, the University of Michigan Golf Course Local Rules (located on the official scorecard) as well as the UWGC adopted Club Rules.
ARTICLE XI - POLICIES
Policies shall be made and amended by a majority of the Executive Board.
ARTICLE XII - AMENDMENTS
These bylaws may be amended by a majority of the active members present at any meeting of the organization. The history of Bylaws & Policy changes will be attached to the bottom of each document.
